Key Responsibilities
Executive Support
Manage executive calendar, appointments, and meeting scheduling.
Prepare meeting agendas, notes, action items, and follow-ups.
Draft professional emails, proposals, presentations, and correspondence.
Maintain confidential business records and documentation.
Project Coordination
Track project deliverables, milestones, and deadlines.
Monitor action items across multiple initiatives.
Maintain project plans and status reports.
Coordinate communication between internal teams, clients, and vendors.
Organize project documentation and repositories.
Scrum & Agile Support
Facilitate Scrum ceremonies:
Daily Standups
Sprint Planning
Sprint Reviews
Retrospectives
Maintain Jira, Azure DevOps, Trello, or similar Agile tools.
Track sprint progress and team commitments.
Update product backlogs and project dashboards.
Prepare sprint metrics and executive reporting.
Business Operations Support
Assist with recruiting coordination and candidate scheduling.
Maintain CRM and prospect databases.
Support LinkedIn outreach campaigns.
Track contracts, invoices, and vendor documentation.
Assist with staffing and consulting operations.
Documentation & Reporting
Create and maintain:
PowerPoint presentations
Excel reports and dashboards
Word documents and templates
Process flows and SOPs
Prepare weekly executive reports and KPI dashboards.
Organize and maintain SharePoint and Teams environments.
Required Qualifications
Technical Skills
Advanced Microsoft Office Suite:
Excel (Pivot Tables, VLOOKUP/XLOOKUP, Reporting)
PowerPoint
Word
Outlook
Teams
SharePoint
Experience with:
Jira
Azure DevOps
Experience supporting Agile/Scrum teams.
Professional Experience
3+ years supporting executives, project managers, or business leaders.
2+ years working in Agile/Scrum environments.
Experience coordinating multiple projects simultaneously.
Strong written and verbal communication skills.
Preferred Experience
Cybersecurity, IT, Utility, or Staffing industry experience.
Scrum Master Certification (CSM, PSM, or equivalent).
Experience creating executive-level presentations.
Experience with AI productivity tools such as Microsoft Copilot or ChatGPT.
