The Facilities Coordinator is responsible for the oversight, maintenance, organization, and operational readiness of all company facilities, workspaces, and physical assets. This role ensures that buildings, shops, labs, storage areas, and shared spaces are safe, clean, efficient, and representative of the company’s professional standards. The Facilities Coordinator serves as the primary steward of the physical environment, enabling teams to work effectively without disruption. This role requires hands-on effort with strong organizational skills, mechanical aptitude, and a proactive mindset who takes ownership of systems, spaces, and preventative maintenance.
Key Responsibilities
Facility Operations & Maintenance
Oversee day-to-day operations of all facilities, ensuring buildings, workspaces, and grounds are safe, functional, and well-maintained.
Preventative Maintenance Management
Develop and execute preventative maintenance schedules for HVAC, electrical, plumbing, doors, lighting, security systems, and other facility infrastructure.
Vendor & Contractor Coordination
Source, schedule, and manage third-party vendors and contractors; oversee quality of work, timelines, and cost control.
Space Organization & Standards
Maintain clean, organized, and efficient workspaces, storage areas, labs, and common areas that align with company standards and operational needs.
Safety & Compliance
Ensure compliance with safety regulations, OSHA requirements, fire codes, and company safety protocols; proactively address hazards.
Inventory & Asset Oversight
Track facility-related assets, tools, furniture, fixtures, and consumables; ensure proper storage, labeling, and availability.
Facility Projects & Improvements
Support renovations, expansions, reconfigurations, and facility improvement projects from planning through execution.
Issue Response & Troubleshooting
Respond promptly to facility issues, breakdowns, or emergencies, troubleshooting directly when possible and escalating as needed.
Documentation & Reporting
Maintain clear documentation for maintenance logs, vendor agreements, inspections, warranties, and facility-related expenses.
Cross-Team Support
Partner with operations, technical teams, leadership, and administration to ensure facilities support business needs and growth.
Qualifications
Strong working knowledge of basic electrical, plumbing, HVAC, and general building systems
Experience managing vendors and contractors
Organized with strong time-management and prioritization skills
Comfortable working independently and taking ownership of responsibilities
Strong problem-solving and troubleshooting abilities
Clear communicator with a professional, service-oriented demeanor
Proficient with basic digital tools (email, spreadsheets, task tracking systems)
Preferred Experience
Experience supporting warehouses, labs, technical shops, or operational facilities
Familiarity with OSHA standards and workplace safety programs
Experience creating preventative maintenance plans and SOPs
Forklift, lift, or equipment certifications (a plus, not required)
Physical Requirements
Ability to lift up to 50 lbs
Ability to climb ladders, bend, kneel, and work in tight spaces as required
Ability to be on feet for extended periods
